Be mindful of different time zones, overlapping activities and very importantly, foresee the buffer time for the crucial activities that might take longer than originally anticipated. If any of the tasks are being delayed, it should be easy to adjust the timing of all dependent tasks.
Execute Cutover rehearsals
Cutover rehearsals is where you could discover the gaps before they turn into Go Live issues. During a cutover rehearsal (also called Mock Cutovers or Dry Runs) the project team simulates all technical, functional and data migration steps in order to measure and evaluate the timing, dependencies, sequence, correctness and team readiness before the Go-Live.

- A solid communication plan: ensure regular status updates when reaching key milestones and provide simple and reliable channels for the team to communicate and raise issues (such as bridge calls, chat groups or a dedicated on-site “war room”)
- A defined escalation and decision-making path: outline who is responsible for which decisions, at what level, and how the issues should be escalated throughout the cutover to ensure fast and controlled resolution
As the system downtime is usually limited and cutover activities must fit into that timeframe, any confusion or delay can have a negative impact. Clear governance is the key to the success of the cutover and, ultimately, the entire project.
Prepare the Business team for the upcoming Go-Live
A successful cutover is not only about the technical readiness – it is also about ensuring that the business team is fully prepared for what will happen at Go Live. The first day in the new system or using a new solution sets the tone for the entire Go-Live experience and Hypercare so the clarity and a good preparation is essential.
Beyond the training and user acceptance testing, the end users need clear communication about what to expect:
- When they can start working with a new solution
- Whether IT will support them through the first real transactions
- Any delays, constraints or areas requiring extra attention
This transparency helps the users to feel supported rather than overwhelmed. Equally important is a smooth transition to the Hypercare* phase and a clear guidance whom to contact in the first days, how to log the issue and what level of support is available.
* The hypercare phase in SAP refers to the short period immediately after a system go-live during which intensive support is provided to quickly resolve issues, stabilize operations, and ensure a smooth transition to normal business processes.
