Similarly to many other taxpayers in Poland, Schnellecke Logistics, an internationally operational logistics service provider based in Wolfsburg, Germany, was facing the challenge of preparing their S/4HANA landscape for Poland’s brand new B2B e-invoicing mandate.

To this purpose, Schnellecke made the strategic decision to introduce SAP’s standard functionality for legal requirements worldwide: SAP Document and Reporting Compliance (SAP DRC), with PIKON as their implementation partner. The SAP DRC solution provides Schnellecke with a KSeF-compliant, future-proof, automated and end-to-end e-invoicing set-up, which is fully integrated into their SAP landscape. This allows Schnellecke to keep their focus on what they do best: providing innovative and sustainable solutions for complex supply chains; while SAP DRC supports and automates local reporting requirements.

To optimize the setup process for SAP DRC, Schnellecke teamed up with PIKON. From start to finish, PIKON supported all implementation facets from invoicing process analysis to standard e-invoicing configuration, custom adaptation, connectivity to the tax authority (test) portal, user training, user testing guidance, go-live and hypercare.

With this joint DRC project as a pilot, Schnellecke established a solid foundation not only for Poland’s legal requirements, but also for any forthcoming regulatory challenges on the horizon. In that sense, the next E-Invoicing and E-Reporting project is already being planned jointly with PIKON.

The starting point of a strong collaboration…

As a prominent global player, Schnellecke is facing increasingly more electronic reporting requirements worldwide. Against that backdrop, Schnellecke approached PIKON with a clear interest in SAP DRC: SAP’s standard functionality to cover legal requirements worldwide, in an end-to-end fashion. This was fully in line with PIKON’s expertise and SAP DRC-first strategy when confronted with the implementation of legal obligations.

Presented with the imminent B2B KSeF e-invoicing requirements, the course was set for a pilot SAP DRC implementation for Poland. The goal was twofold: making Schnellecke’s SAP S/4HANA environment KSeF compliant in the most efficient and effective manner, while simultaneously laying a solid and scalable foundation for future DRC rollouts across the globe. Both goals were to be met from both a system and collaboration perspective.

Implementation phases and key components of the legal requirements

In accordance with Poland’s B2B e-invoicing mandate, the SAP DRC solution introduced at Schnellecke is covering both the sending of domestic electronic customer invoices and the receipt of electronic vendor invoices. In that regard, PIKON’s activities ranged from:

Analyzing Schnellecke’s current customer and vendor invoicing processes in Poland, as well as their current set-up in SAP S/4HANA;
Outlining the future TO-BE invoicing processes in SAP DRC – recognizing at each turn the advantages of the standard SAP processes and solution, as well as Schnellecke’s own business needs and specialities;
End-to-end solution implementation, from the first SAP OSS Note and customizing, until the configuration of bidirectional connection to the KSeF (demo) portal and final KSeF-related custom development. This also included the connection of SAP’s eDocument Cockpit (e-invoicing monitor) to Schnellecke’s automated vendor invoice management system.
User support, both in training and user testing support;
Bug-fixing, go-live support and hypercare.

After a project duration of four months, PIKON and Schnellecke successfully went live with the e-invoicing set-up for Poland on February 1^st, therefore successfully meeting the legal deadline from the Polish government.

As the realm of legal requirements is however everchanging and evolving, all throughout the KSeF Poland implementation, Schnellecke and PIKON also remained in close contact about Schnellecke’s legal requirements roadmap and future implementation priorities.
